Although Royal Eijkelkamp makes every effort to ensure the accuracy and completeness of this document, Royal Eijkelkamp provides no express or implied guarantee that the information provided in or through this privacy policy is accurate, complete, or up to date.

What is personal data?

Personal data is any information relating to an identified or identifiable natural person.

An identifiable person is someone who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, identification number, location data, online identifier, or one or more factors specific to the physical, physiological, genetic, psychological, economic, cultural, or social identity of that natural person.

For example, a bank account or IBAN number is not considered personal data until the account number can be linked to a natural person by others. At that point, the account number also becomes personal data.

Company information is not considered personal data unless you are self-employed, operate a sole proprietorship, or participate in another legal structure without limited liability. In such cases, this information is also regarded as personal data.

What do we use personal data for?

Performance of contracts and agreements

To perform contracts and agreements, it is necessary for us to store contact details, employee information, and information about your company. We do this so that we can communicate about the agreement we have with your company.

We also use this personal data to ensure that any proposals we make are addressed to the appropriate person.

Legal requirements

As a company, we have several legal obligations.

Firstly, we are required to comply with the General Data Protection Regulation (GDPR).

Secondly, we are legally required to retain our financial records for seven years. This means that all personal data relating to these records must also be retained for seven years.

In addition, we must comply with other tax legislation and legislation relating to employee data.

Marketing activities

Royal Eijkelkamp likes to keep its customers and business relations informed about new developments and about how we can help our customers stay ahead.

We may do this, for example, by sending you an email, calling you, or inviting you to visit an exhibition or customer event.

Improving our services

Royal Eijkelkamp continuously works to improve its services and, in some cases, uses personal data to do so.

We personalise our communications, improve our security, measure whether the way we contact you is effective and useful, identify frequently occurring issues, and develop new services based on customer questions and requirements.

Whose personal data do we have?

Our customers

We store company information and personal data relating to employees who correspond with us on behalf of your company in our database.

People who have contacted us

In some cases, we register the personal data of people who are not customers but who contact us.

This may happen, for example, when someone submits a question or requests a quotation. We use the personal data provided to follow up on these requests.

We also keep records of telephone conversations, online chats, and emails. In most cases, telephone numbers can be linked to an individual.

People Royal Eijkelkamp has been in contact with

We keep records of emails and information exchanged by telephone.

In some cases, we store personal data relating to people we have been in contact with in our database so that we can follow up on a conversation.

Visitors to our website

In some cases, we may be able to identify an individual through data tracking based on their IP address or other unique information received through our website analytics tools.

What personal data do we collect?

Regular personal data

This includes information such as your name, address, telephone number, and email address.

We may also receive this personal data from representatives or contact persons within your company.

In some cases, we also record your position within your company. We use this information to contact the company about matters such as appointments or ways in which we can improve our services.

You may also have contacted us about our products and services. In that case, your details may have been registered in our CRM system. Often, the only information we have is your name, telephone number, and email address.

Contact history

In some cases, we may keep records of how often you contacted us, when you contacted us, and the reason for contacting us.

For example, when you contact our service desk, your conversation and the service request you submit may be recorded.

If you call our sales department, we record which product or service you contacted us about so that we can follow up on your request.

How long do we retain personal data?

We retain data for as long as necessary for the purpose for which it is used and for as long as we are legally required to retain it.

The exact retention period can vary from several months to many years.

Old customer data is deleted after 24 months.

However, personal data required to comply with statutory tax retention requirements is retained for seven years. This includes, for example, our general ledger, accounts receivable and accounts payable records, and payroll administration.

In some cases, we are legally required to retain personal data for ten years. This may apply, for example, when we provide telecommunications services.

Control over your personal data

Under the General Data Protection Regulation (GDPR), you have the right to request the correction or deletion of personal data collected by Royal Eijkelkamp.

Under certain circumstances, you may also request Royal Eijkelkamp to transfer your personal data.

We restrict access to private and confidential information to employees who have a specific need to access that information.

We store data across multiple service systems in controlled and secure environments.

We may update this Privacy Policy from time to time where necessary to maintain an appropriate level of protection for our users and to respond to changes in our operating environment.

We recommend reviewing the Privacy Policy whenever you visit our website to ensure that you are aware of and understand our current policy.

If we make material changes to this Privacy Policy or to the way in which we use or collect personally identifiable information, we will clearly communicate those changes before they take effect.

We will not make retroactive changes to the way previously collected personal data is handled unless we are legally required to do so.
